Vendor Confidentiality Agreement

Version 1.0 • Applies from the day your firm signs up

Draft for your firm's attorney to review. This page explains how VoxLead holds what callers tell your firm. It is not legal advice. Before you sign, have a lawyer who practises in your state confirm it fits your obligations.
In short: we hold your firm's call recordings, transcripts and caller details only to answer your firm's calls. Your firm's attorneys stay responsible for their clients. Only people signed in to your firm can see your records.

1. The parties

This agreement is between VoxLead (“we”), which provides an AI intake receptionist, and the law firm that signs up for it (“the firm”). It is part of the VoxLead Terms of Service.

2. What we hold

When your receptionist answers a call, we hold:

  • the recording of the call, if your firm has recording turned on and the caller was told about it;
  • the transcript and a short summary of the call;
  • the details the caller gives: name, phone number, email, city, a summary of what happened, and the consultation time they asked for.

We do not ask for, and the receptionist is told never to take, Social Security numbers, bank or card details, passwords, or medical records.

3. What we do with it

We use this information only to answer your firm's calls, record what happened, book or pass on consultations, and show your firm its own records. We do not use one firm's records for another firm, and we do not sell them.

4. Who helps us run it

Some service providers process call audio, text and records on our behalf: the telephone network, the speech and language models, cloud storage and database hosting, email and text delivery, and payments. Each receives only what it needs to do its job, and each is bound by its own confidentiality terms. Your firm can ask us for the current list.

5. Keeping it private

  • Each firm's records are kept apart from every other firm's.
  • Recordings are stored privately, not at public web addresses. A recording plays only for a signed-in user of the firm that owns it.
  • Traffic between your browser, our servers and the telephone network is encrypted.
  • Access to your firm's records is limited to people your firm signs in, and to our staff when needed to support your account.

6. How long we keep it, and deleting it

We keep your firm's records while your account is active. Your firm can delete its call history from Settings at any time. If you close your account, we delete your firm's records, except where the law requires us to keep something.

7. The firm's responsibilities

Your firm and its attorneys remain responsible for their clients and for the advice they give. VoxLead does not give legal advice, decide whether a firm takes a case, or make any promise about a case. Your firm decides how its intake is used, what it tells callers, and whether to keep recording on.

Your firm must tell callers about recording where the law requires it. The receptionist says so at the start of each call, using the wording in your settings.

8. If something goes wrong

If we learn that a caller's information was exposed without authorisation, we will tell your firm without unreasonable delay, say what we know, and help you meet any notice duties under your state's law.
